This Privacy Policy explains how RentersLand, LLC (“RentersLand”, “we”, “us”, “our”) collects, uses, and shares information when you use our website and services (the “Services”).
No third-party marketing
We do not sell your personal information and we do not share your personal information with third parties for their own marketing purposes.
1) Information we collect
Depending on how you use the Services, we may collect:
- Account information: name, email, password or authentication identifiers, and basic profile details.
- Renter profile information: contact details, employment and income information, rental history, and other information you choose to provide to build your renter profile.
- Identity verification information: if you choose to complete identity verification and screening, we may collect information such as your Social Security Number (SSN) and related identifiers for verification and tenant-screening purposes.
- Documents and photos you upload: for example, government-issued ID, proof of income documents (pay stubs or replacements), bank statements, optional supporting documents, and property or listing photos you choose to provide.
- Owner/property information: if you are an owner/landlord, we may collect building details, listing information (including photos you upload), and contact information you submit.
- Usage and device information: basic logs and device/browser information when you interact with the Services (for example, for security and troubleshooting).
2) How we use information
We use information to:
- Provide, maintain, and improve the Services.
- Create and manage your account and renter/owner profile.
- Facilitate identity verification and tenant screening when you request it and provide required consents (including disclosures required by law, such as the FCRA).
- Enable renters to share information with owners/landlords when they choose.
- Prevent fraud, secure the platform, and enforce our Terms.
- Provide customer support and communicate service-related updates.
3) How we share information
We may share information in the following ways:
- With owners/landlords you choose: when you apply, inquire, or otherwise choose to share your renter profile or screening information with an owner/landlord or their authorized representatives.
- With service providers (processors): vendors who help us operate the Services (for example, hosting, storage, identity verification/screening, payments, analytics). They are permitted to process information only to provide services to us.
- For legal reasons: to comply with law, lawful requests, or to protect the rights, safety, and security of RentersLand and users.
- Business transfers: if we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction.
We do not share your information with third parties for their own marketing purposes.
4) Screening and sensitive data
If you choose to complete screening, you may provide sensitive information (such as SSN and identity details) and upload sensitive documents. We use this information only for identity verification, tenant screening, fraud prevention, and to provide the Services you request, consistent with your authorizations and applicable law.
5) Data retention and account deletion
You can delete your account at any time from the in-app settings. When you delete your account we anonymize your profile in place: personal identifiers are removed and your account can no longer be used to sign in. The original email address is released and may be used to register a new, unrelated account.
Destroyed immediately on deletion: name, email, phone, mailing address, date of birth, government identifiers (including SSN), uploaded documents and photos, profile photo, push notification tokens, and other contact information.
Retained in anonymized form to satisfy legal, financial, regulatory, and dispute-defense obligations:
- Payment and transaction records retained for up to 7 years in accordance with U.S. tax record-keeping requirements (Internal Revenue Code §6001).
- Tenant-screening and background-check records retained for at least 2 years after the date any consumer report is furnished, in accordance with the Fair Credit Reporting Act (15 U.S.C. §1681m) and applicable adverse-action recordkeeping rules.
- Rental application records retained for up to 5 years in accordance with Fair Housing Act recordkeeping guidance (42 U.S.C. §3601 et seq.) to support the resolution of discrimination claims.
- A deletion audit record (anonymized, no PII) kept indefinitely to document compliance with privacy and consumer-protection laws.
Backups. Our database provider maintains point-in-time backups on a rolling window (currently 7 days). Deleted personal data is purged from primary storage immediately and from backups within that rolling window.
Active obligations. We may decline or delay an account deletion while a payment, background check, or active lease is in progress. In those cases, please complete the in-progress activity (or contact support@rentersland.com) before initiating deletion.
6) Security
We use reasonable administrative, technical, and organizational safeguards designed to protect your information. Sensitive data such as Social Security Numbers are stored encrypted and are never transmitted or logged in plaintext. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
In the event of a data breach that affects your personal information, we will notify affected users as required by applicable law.
7) Your choices and rights
- Access and updates: you can update certain account/profile information in the Services.
- Deletion: you may delete your account at any time from the in-app settings. See Section 5 for what is destroyed immediately and what is retained in anonymized form for legal compliance.
- Consent: where processing is based on your consent, you can withdraw consent, though this may limit features like screening.
8) California residents (CCPA)
If you are a California resident, the California Consumer Privacy Act (CCPA) gives you specific rights regarding your personal information:
- Right to know: you may request that we disclose the categories and specific pieces of personal information we have collected about you, the sources, the business purpose for collection, and the categories of third parties we share it with.
- Right to delete: you may request deletion of your personal information. See Section 5 for what is destroyed immediately and what we are required to retain. You can initiate deletion directly from in-app settings.
- Right to opt out of sale: we do not sell your personal information. No opt-out action is required.
- Right to non-discrimination: we will not discriminate against you for exercising any of your CCPA rights.
To exercise your rights, contact us at support@rentersland.com. We will verify your identity before processing requests and respond within 45 days (extendable by an additional 45 days with notice).
9) Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice through the Services or by other reasonable means.
